Verifying your certificates with the Zambia Qualifications Authority (ZAQA) is now fully digital. This exhaustive 12-step guide covers everything from account creation and identity verification to mobile money payments and downloading your official E-certificate.
Step 1: Access the ZAQA Online Portal
The verification process begins at the official Zambia Qualifications Authority website. Navigate to www.zaqa.gov.zm and locate the Apply Online tab found on the top right corner of the screen to enter the Qualifications Management System (QMIS).

Once on the QMIS landing page, click the Sign Up button. You will be prompted to select your account type. In your case please select Personal since you are a student

Enter your first and last name (family name).
Ensure you enter a strong password that includes:
* A minimum of 6 characters
* At least one uppercase letter
* At least one lowercase letter
* At least one number
* At least one special character (e.g., !@#$%^&*)

Check your email inbox for an account activation link sent by the ZAQA system.
You must click this link to verify your identity and activate your account before proceeding with any application.

Select the Apply button and accurately fill in all your personal details as they appear on your official documents.
Ensure you click Save and Continue to move to the next section without losing your data. For example:

Step 6: Download the Mandatory Consent Form
A critical part of the process is the Consent Form, which allows ZAQA to verify your results with the awarding institution. Look for the download link, save the form to your device, and fill it out completely.
Step 7: Attach Identity Documents
You are required to attach a clear, scanned copy of either your Passport or your National Registration Card (NRC). Important: Both the front and back of the NRC must be combined into a single document for upload.
Step 8: Upload Your Academic Qualifications
Attach a high-quality scan of your qualification certificate and select the country where it was issued from the dropdown menu. If you have multiple certificates to verify, click Add More to include them in the same application.
Step 9: Submit the Signed Consent Form
Take the Consent Form you filled out in Step 6, sign it, and scan it back into the system. Attach this signed copy under the submission section and click the final Submit button.
Step 10: Receive Your Invoice
Once your application is submitted, the system will automatically generate an invoice. This document will specify the exact amount you need to pay and provide you with a unique Application ID number.
Step 11: Choose Your Payment Method
ZAQA supports multiple payment options including Debit/Credit Cards, Bank Deposits, and Mobile Money on all networks (Airtel/MTN/Zamtel). If you pay via bank deposit, you must email a copy of the deposit slip showing your full name and Application ID to [email protected]. For Mobile Money or Visa payments, you can download your receipt directly from the portal under the Paid option.
Step 12: Download Your Official E-Certificate
After your application has been processed and verified, you will receive a notification. Log back into the portal to download your E-certificate. This digital document is a valid ZAQA Certificate and can be used for employment or academic admission purposes.
